Each document request that is saved from the New Document routine is stored within the Saved Document queue.  These documents can be searched by the originating operator or by other operators with both the menu access to Saved Document queue and managerial rights to see another operator's saved document requests.  Each saved document can be edited, deleted,  or printed.  Saved documents do not have a serial number assigned until they are selected for print.

       Step 1 - Search

Before a document can be acted upon (printed, deleted, edited), it must be selected from the search results window above.  By default, the search results window is empty.  It is populated by specifying search criteria and then clicking Search.

 

1.        Specify a Start and End Date.

2.        The Entered By box will display the operator's username.  Managers with proper managerial rights will be able to use a binocular icon to search for documents saved by other operators.

3.        Use the Document drop-down to limit returned results to a specific document type.

4.        Click Search to populate the list box with documents that meet the search criteria.  If the document is not listed, it may be flagged for approval and require managerial intervention.  See Document Approval for instructions on securing a remote check approval.

 

       Printing Documents

Once the search results window has populated using the Search command, select one or more documents for printing.

 

To print a single document, click on the document in the search results window and then click Print

 

To print multiple documents use any of these methods:

    a) Hold down the Control (CTRL) key while clicking individual documents or

    b) Click the first document in a sequential range and then press Shift and click the last document in the range or

    c) Use a combination of these two methods to select all documents to print or

    d) Press CTRL+A (the Control key and the "A" key) to select ALL the listed documents for printing.

 

After all selections are made, click Print

 

NOTE: If any GL tickets are associated with the printing of the check request, each check will print first followed by its corresponding GL Ticket.  Checks and GL Tickets will print to their assigned printer tray based on settings in Printer Profiles.

 

       Editing a Saved Document

Once the search results window has populated using the Search command, select one for editing.  Saved documents do not have an assigned serial number.  Therefore, they can be edited for content prior to printing.  Only the originating author or a manager with proper security access can edit a saved document.

 

Select the document, click Edit, and make the changes and click Save.  After making the changes, click Print or Cancel to print later.

 

       Deleting a Saved Document

Once the search results window has populated using the Search command, select one for deleting if needed.  This is the only option available to remove an entry prior to printing.  If the document is printed and should have been deleted, access the Void a Document routine and mark the item as voided.

 

Select the document, click Delete
