eSigna.Net provides an internal mechanism to gather, prepare, and submit disbursement data to third-party vendors for positive pay processes.  Using Transmit Issuance allows disbursement files to be selected and uploaded to a third-party vendor (such as MoneyGram and Integrated Payment Systems).  Several transmission options are available and are controlled within the Bank Setup section of Configuration.

 

The following actions used to gather, prepare, submit, and report on transmission files are detailed below:

 

       Creating the Transmission

As stated above, two options exist.  The transmission may create a text file or directly connect to a third-party vendor's FTP (File Transfer Protocol) site.

 

The following steps are required when creating a transmission:

1.Select a Start Date.  Click the drop-down arrow to activate a calendar function to help select the correct start date.
2.Select an End Date.  Click the drop-down arrow to activate a calendar function to help select the correct start date.
3.The Format section shows the pre-configured format set in Bank Setup.  It identifies the third-party format the disbursement file will be generated in.
4.If a flat file is generated (in lieu of automatically generating a file via FTP protocols), review and edit (if necessary) the file designation in the File Path field.
5.Select the appropriate Account type (if applicable).  If only one account is prepared for transmission, this will be disabled.
6.To execute the transmission, follow the steps associated with the method being used:
Saved Text File - Verify the saved path in the File Path box.  Click Create File.

FTP Transmission - Click Transmit.

 

A log entry will be generated detailing the sending user, the date range, total value for the items, total number of document entries sent, and the submission’s status.  The list box lists all submissions for the given month.

 

       Researching Past Transmissions

The Transmit Issuance routine displays all transmission logs for a given month.  You can toggle backwards to view a prior month's log and view a specific transmission.

 

To Research a Past Transmission:

1.For current month transmissions, highlight the log entry and click History Details.
2.To view a transmission from a previous month, click Previous Month until you reach the month you want to research.  Highlight the log entry and click History Details.
3.To return, click Next Month until you reach the current month.

 

       Additional Transmission Reports

In addition to the standard Transmission History Report, there are two additional transmission reports.  These reports are available to validate and verify transmitted information and assure its accuracy.

 

The Not Transmitted Report provides a detailed report listing all documents that were not transmitted with previous transmissions.  To initiate the report, choose a Start Date and End Date.

 

The Over Transmitted Report lists all disbursement records that indicate a duplicate transmission to the outsourcing vendor.  A Start Date and End Date is required for this report.
